When custom actually makes sense

Most of the time, off-the-shelf is the right answer. Xero, Shopify, ServiceM8, HubSpot — these tools exist because the underlying problems are mostly the same across thousands of businesses. We will tell you when one of them solves your problem, even though we get no work out of saying so.

Custom makes sense when one of three things is true:

  • Your process is genuinely unusual and configuration of an existing tool will not cover it.
  • You need integration between systems that do not natively talk to each other.
  • You have hit the ceiling of what an existing tool can do — usually around scale, custom workflows, or reporting.

If your problem is one of these, custom is often cheaper in the long run than wrestling with a tool that almost-but-not-quite fits.

Honest Pricing

Most projects: $5,000–$30,000

Project-based, scoped after a discovery call. Smaller custom builds — a single internal tool, a basic integration, a focused dashboard — typically run $5–10k. Larger systems with multiple users, custom workflows, or significant integration work run $15–30k. We give fixed-price quotes upfront after we understand the scope, not open-ended hourly estimates.
