How We Work With You

Senior people, by phone and email, not offshored

We are an Australian-owned team that builds automation for businesses across Victoria, remotely. Automation is backend work: we connect to your systems and build the integrations without needing to be in the room. You deal directly with the senior people doing the work, by phone and email, on Australian business hours, whenever you need us. No offshoring, no junior hand-offs, no office overhead baked into your quote.

Real Examples

What business automation looks like in practice

Plain-English examples. The names change; the shape of the work does not.

Trades & services

Job booked → created in ServiceM8 → SMS confirmation to the customer → calendar invite to the team → invoice draft on completion. No manual handover.

Retail & e-commerce

Shopify orders → synced to Xero → low-stock alerts to the supplier → restock orders generated when thresholds hit.

Professional services

Lead form submitted → routed to the right person by enquiry type → CRM record created → follow-up sequence triggered → check-in if no reply.

Owner-operated

A weekly dashboard email summarising bookings, revenue and outstanding invoices, pulled from five systems, delivered every Monday.

AI where it actually helps

AI suits some jobs and is a waste of money on plenty of others. We build in the parts that actually save you time and leave the rest.

Smart enquiry triage

Incoming messages classified by intent and auto-routed: quotes to sales, support to support, complaints flagged. No manual inbox sorting.

Document data extraction

Pull line items, dates and totals out of supplier invoices or job sheets, straight into Xero or your CRM. Replaces hours of manual entry.

First-pass drafting

Follow-ups, quote outlines and proposals drafted in your tone. Your team reviews and sends. Faster turnaround, no AI-sounding output.

What we work with

Off-the-shelf tools where they fit. Custom code where they do not.

How an automation engagement works

Clear scoping, fixed prices where possible, no lock-in.

01

Automation Audit

A free review of the jobs still being done by hand, with a written report naming 5–10 things worth automating, ranked by what they give back against the effort involved.

02

Pick what to build

You choose what is worth doing, with clear costs upfront. Implement everything, the top three, or hand the report to your own team. All fine.

03

Build & integrate

Most automation projects are completed in 1–4 weeks, quoted fixed-price per project. We build, test and document everything, working with you by phone and email.

04

Maintain

Automations break when source systems change. Monthly Support Plans cover ongoing maintenance and small monthly improvements so things keep running.

Questions we get asked a lot

Not for this work. Automation is backend plumbing: we connect to your systems and build the integrations remotely, the same way we would for a business down the road. You deal directly with our senior team by phone and email, on Australian business hours. You are not paying for a fancy Melbourne office or being handed to a junior account manager, and nothing is offshored. For most Victorian clients the only difference is the postcode on our invoice.
By phone and email, plainly. We scope the work on a call, send you a clear written proposal, build and test the automation against your systems, and walk you through it. No apps to learn, no standing meetings, no ticket queue. When you need to talk something through, you call and get the same people every time.
Some one-step connections between popular tools can be set up in-house, and if that is genuinely all you need, we will say so on the first call. We earn our fee when the simple glue runs out: conditional logic, custom data transformation, error handling, or systems without native connectors. We also rescue self-built setups that have grown into unmaintainable spaghetti.
Often you are the perfect size. Small businesses with one or two staff can save 4–12 hours a week of admin: the difference between hiring another person and not. The smaller the team, the higher the per-person impact.
They will. When source systems push updates or change their APIs, the automation needs updating. That is what Monthly Support Plans are for. They cover ongoing maintenance and a few hours of improvements each month.
